Fleet Analyst/Administrator

THE ROLE

The role is responsible for administering the day to day fleet operations working closely with the business, including field personnel, management, and external  service providers; creation of policies and procedures, ensuring compliance with the company’s fleet policies and procedures, analyzing and evaluating the performance of vehicle on the Company’s fleets; creation of Fleet Metrics that will aid with decision-making within the department and the organization

MAIN RESPONSIBILITIES

  • Administer day to day fleet activities including incident reporting, license plate and registration renewals, new driver on-boarding, vehicle dispositions, replacements of vehicle purchases and vehicle scheduling
  • Works closely with fleet administration service provider(s) and related outside vendors including vehicle dealers
  • Administer and analyze fleet data from all relevant sources and prepare related reports and analysis used for decision making and management reporting
  • Develops policies and procedures and recommend changes to relevant policies and procedures to maximize the fleet’s efficiency and profitability while reducing liability exposure
  • Provides administrative support for the department
  • Prepares daily Vehicle Review Inspection reports
  • Ensures vehicle documentations are valid, monitors and maintains titles and vehicle documentation database
  • Assists with updating fuel cards across the group of companies
  • Prepares reporting for ongoing and yearly budget data to management
  • Controlling costs by ensuring that vehicles are maintained properly and efficiently
  • Analyzing data to make recommendations about purchasing new vehicles or retiring old ones
  • Conducting market research to determine the best type of vehicle to purchase for the fleet based on factors such as price, safety features, fuel efficiency, and seating capacity
  • Monitoring fleet performance to ensure that each vehicle is used efficiently according to its purpose
  • Recommending changes in routes or schedules to improve efficiency of fleet operations
  • Monitoring insurance coverage on vehicles to ensure that adequate coverage is in place at all times
  • Ensure compliance with relevant Occupational Health, and Safety (OHS) obligations and support of health, safety and wellness initiatives and that relevant policies are understood, followed and implemented by all employees

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s Degree in Business Administration or equivalent
  • 2 Years work-related experience
  • Working knowledge of Fleet Management System
  • Exceptional communication skills.
  • Extremely proficient with Microsoft Office Suit
