OFFICE MANAGER

 

THE ROLE

Executive Support

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; composing and preparing correspondences; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Supports the CEO in his external commitments related to offsite meetings and events, including service on external boards, committees and other groups.
  • Communicates with the Executive team and the general staff on behalf of the CEO and coordinates logistics with high-level meetings both internally and externally.
  • Provides strong support to the members of the Executive team; following up for periodic reports and holding members accountable for outstanding deliverables.
  • Manages preparation of responses to Audit Report findings; collates data and liaises with Auditors and staff members to achieve quarterly objectives.
  • Communicates directly and on behalf of the CEO with external stakeholders, Seprod Foundation staff, and others on matters related to programs and initiatives as directed.

 

Administrative Support

  • Conducts research on prospective speaking engagements, statistics and trends within the manufacturing industry, both locally and internationally.
  • Drafts reports, letters of solicitation, emails, proposals; prepares and coordinates oral and written communication.
  • Supportive business partner who can see the big picture across the Executive team and help to improve cross-team collaboration.
  • Execute business strategies via project involvement across the Group, working with other senior leaders in the business to achieve the Company’s strategies.
  • Recognizing areas where value can be added and develop innovative ideas to implement change.
  • Timeliness and accuracy in the reporting of the Minutes derived from weekly Leadership Team meetings.
  • Provides important updates and reminders on a daily basis.
  • Follow up with internal and external stakeholders as it relates to phone calls, emails, letters and provide information as requested in a timely manner.
  • Liaises with responsible parties to ensure that documentation is received in advance, for scheduled meetings.
  • Provide support to the Executive team members as needed.

 

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in general Administration or related field.
  • 2-3 years’ experience in similar role
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • A second language is an asset.
